Pillowcase was shaped at both ends of the scale at the same time: one of the largest campsites in the UK, and a small family-run site. Every feature had to clear both bars before it shipped.

Where they were

Five people in the office doing nothing but email and bookings, and a Pitchup dashboard that had started producing double bookings faster than anyone could clear them.

What the site demands

  • Over 800 pitches, hardstanding through to glamping, sold every night of the season
  • Arrivals and departures every day, with staff working the same calendar at once
  • Channel sync with Pitchup that cannot be allowed to drift, even for an hour

At our size the admin was the business. Five people in the office doing nothing but email and bookings, and Pitchup had got to the point where we were double-booking constantly and could not stay on top of it. We are down to one person now, and they mostly field the odd phone query. Nobody here has logged into Pitchup for over a year. It all just arrives.

A paper diary alongside the Pitchup dashboard, an evening of emails after every day on the site, and card payments taken over the phone or at the gate.

What the site demands

  • 25 pitches and one owner doing the lot, bookings included
  • Bookings, payments and guest emails all handled in one place, not spread across a diary, an inbox and a card machine
  • No double bookings when the same pitches are also selling on external channels
  • Has to be obvious on a phone, in a field, with one bar of signal

We were running 25 pitches off a paper diary and the Pitchup dashboard, and taking payment over the phone or on the gate. The emails on their own were an evening's work. Since 2022 it has all been in one place. When someone arrives now we scan the code on their phone, the booking comes up, and we point them at their pitch. No diary, no panic, no wondering whether we have sold it twice.
